How to use the hours worked calculator

  1. Enter your clock-in and clock-out times. Type 9:00, 0900, 9am or 5:30 pm. Times without am or pm are read as 24-hour.
  2. Check the shift end. If you finish after midnight it switches to Next day on its own. Pick Next day yourself for a 24-hour shift.
  3. Add your unpaid break. Type the minutes, like 30. Leave it blank if you didn't take one.
  4. Add your rate if you want pay. The hours work without it. With a rate you also see an estimate of gross pay.

The formula

Hours worked = clock-out time − clock-in time − unpaid break.

The calculator counts in whole minutes, then converts to decimal hours by dividing by 60. Pay is the exact minutes ÷ 60 × your hourly rate, rounded to the cent once at the end, so it never drifts from using a rounded decimal.

Working out pay for the shift

At $19.50 an hour, 7 hours 45 minutes is 465 minutes ÷ 60 × $19.50 = $151.125, which rounds to $151.13. That is gross pay, before tax and any deductions, and it assumes straight time. For overtime across a full week, use the overtime pay calculator.

A common mistake is to treat 7:45 as 7.45 hours. At $19.50 that would be $145.28, which is $5.85 short. Always use the decimal figure for pay.

Frequently asked questions

How do I calculate the hours I worked?

Subtract the start time from the end time, then subtract any unpaid break. From 8:45 am to 5:15 pm is 8 hours 30 minutes; with a 45 minute unpaid lunch you worked 7 hours 45 minutes.

How do I work out a shift that goes past midnight?

Enter the times as they are. If the clock-out is earlier than the clock-in, the calculator counts it as the next day: 10:00 pm to 6:30 am is 8 hours 30 minutes. Choose Same day if that was a typing mistake and you'll get a warning instead.

Can I calculate a 24-hour shift?

Yes. Enter the same time for clock in and clock out, for example 7:00 to 7:00, and choose Next day under Shift ends. That gives 24:00.

Should I include my lunch break?

Only take off breaks you aren't paid for. Paid rest breaks count as time worked, so leave them in. If you clocked out and back in for lunch, the time card with lunch calculator works from the punch times instead.

Why is 7 hours 45 minutes shown as 7.75?

Payroll uses decimal hours, where each minute is 1/60 of an hour. 45 minutes is 45 ÷ 60 = 0.75 of an hour, so 7:45 is 7.75 hours.
