How to make an invoice
- Add your business details. Your name or company, address, email or phone, and tax number if you have one. Add a logo if you like.
- Add the client. Who the invoice is for, with their address.
- Set the number and dates. Pick when payment is due: on receipt, or in 7, 14, 30 or 60 days.
- List what you're charging for. One line per item or service, with quantity and price. Add tax and a discount if needed.
- Download the PDF. Check the preview, then download and send it to your client.
How the totals are worked out
Each line is quantity × price, rounded to the currency's smallest unit (cents, pence, paise; whole yen). The discount comes off the subtotal before tax. Tax is then charged on what's left, once per rate, so an invoice with 18% and 5% items shows two tax lines. With per-line rates, a discount is shared across the lines in proportion to their amounts.
| Step | Working | Amount |
|---|---|---|
| Website design | 1 × ₹40,000 | ₹40,000.00 |
| Monthly hosting | 12 × ₹500 | ₹6,000.00 |
| Subtotal | 40,000 + 6,000 | ₹46,000.00 |
| Discount (10%) | 46,000 × 10% | −₹4,600.00 |
| GST 18% | 41,400 × 18% | ₹7,452.00 |
| Total | 41,400 + 7,452 | ₹48,852.00 |
What an invoice should show
- Your name or business name, address and contact details.
- The client's name and address.
- A unique invoice number. Numbers usually run in order, such as INV-0001, INV-0002, and are never reused.
- The invoice date and when payment is due.
- A clear description of each item or service, with quantity and price.
- Tax shown separately, with its rate, if you charge it, plus your tax number.
- How to pay: bank details, a UPI ID or a payment link. The Notes box is the place for these.
What a tax invoice must contain is set by each country (GST in India or Australia, VAT in the UK and EU, sales tax in US states). This tool lays out what you type and works out the totals; check the rules that apply to you with your tax office or an accountant.
Tips
- Keep a copy of every PDF. Your browser keeps only the last invoice, so save each PDF in a folder for your records.
- Write payment terms people recognise: "Due on receipt" or "Payment due within 30 days" (often written Net 30).
- Rename the heading when needed, for example to Tax invoice, Proforma invoice or Quote.
- Logos look best as a PNG with a transparent background, wider than tall.
Frequently asked questions
Is this invoice generator really free?
Yes. There's no account, no trial and no watermark on the PDF. You can make as many invoices as you like.
Where are my details saved?
In this browser only, using its local storage, so your business details, logo and last invoice are here when you come back. Nothing is sent to a server. Clear all removes them; clearing your browser data does too. On a shared computer, use Clear all when you're done.
Can I make a GST or VAT invoice?
Yes. Choose One rate or Per line under Tax, then rename the tax to GST, VAT, IGST or whatever your invoice should say, and set the rate. Each rate gets its own line in the totals, for example GST 18% and GST 5%. Put your tax number (GSTIN, VAT number, ABN) in your details. The tool prints what you enter; it doesn't check that an invoice meets the rules where you are.
Which currencies can I use?
35 common ones, including US dollars, euros, pounds, Indian rupees, Canadian and Australian dollars, dirhams, rand and yen. Amounts use the usual style for the currency, such as ₹1,23,456.00 for rupees, and you can pick another number style. A few signs the PDF font lacks (won, naira, lira) print as the code, for example KRW 1,000.
How do I make my next invoice?
Press Duplicate as next invoice. It keeps everything, adds one to the invoice number (INV-0009 becomes INV-0010), and moves the date to today with the same payment terms. For a different client, use New invoice, another client: your own details stay and the client and lines are cleared.
Can I edit the PDF after downloading it?
Change the invoice here and download it again; the form keeps your last invoice. The PDF has real text, so it can be searched, copied and read by accounting apps, but it isn't meant to be edited in a PDF editor.
