How to compress a PDF to 2 MB

  1. Add the PDF. Drop it on the box or choose it. You can add several; each is compressed on its own.
  2. Leave the limit on 2 MB. Fit under a size is already selected. Type another number in Other size if your form differs.
  3. Compress, check and download. The bar shows the new size against the limit. Open the result and zoom in before uploading it.

When a form asks for 2 MB

2 MB is the limit a portal sets when it expects one file holding a whole application: all your certificates, a long agreement, or a report with photos. That is room for a lot: in our tests a 40-page colour scan fitted with its pages at 60 DPI, and a 20-page scan at 80 DPI.

As with 1 MB, sites count 2 MB as either 2,000 KB (2,000,000 bytes) or 2,048 KB (2,097,152 bytes). The tool aims under 2,000,000 bytes, so the file passes both. Under your PDF the limit reads as 1.9 MB, because sizes there are shown in 1,024-byte units like on Windows.

What reaches 2 MB, and what doesn't

We ran sample A4 scans through this page in Chrome. Your files will differ, since busy pages and colour need more space, but the pattern holds: page count and colour decide whether 2 MB is realistic.

When nothing fits, the tool keeps the smallest version and says it couldn't reach the limit, rather than quietly handing you an unreadable file.

If it won't fit

Expect a result well under 2 MB. The 30-page scan above came out at 1.04 MB: the next sharper setting was over the limit, and each setting is a step. That's normal and the file is still as sharp as the limit allows.

Merge, then compress once. If the portal wants one file, join the parts with Merge PDF first. Compressing each part to 2 MB and merging them gives a file well over the limit.

Over 40 pages? Check whether every page is needed. Removing blank backs of double-sided scans with Delete PDF pages can save a quarter of the size or more.

How many pages fit in 2 MB?

In our tests, 20 colour pages kept their images at 80 DPI and 40 colour pages at 60 DPI, both readable at normal size. Plain black-and-white scans fit more; pages full of photos fit fewer.

Is 2 MB 2,000 KB or 2,048 KB?

Sites use both. The tool aims under 2,000,000 bytes, below both definitions, so you don't need to know which one the portal uses.

Will text stay selectable?

In all four tests above, yes: 2 MB was enough without turning pages into images. Tick Keep text selectable to make sure; if the file can't fit that way, the tool tells you rather than rasterising the pages.

Why does compressing a 30 MB PDF take a while?

Every page image is decoded and saved again on your own device; nothing goes to a server. A large scan can take a minute, more on an older phone. The progress line shows which step it's on.
